Getting a client ready
Before any records move, the client has to exist and consent has to be on file.
Add a client
- 1Open the workspace and use Add or open a client.
- 2Enter the client's TIN and business name.
- 3The client appears on your dashboard with five status dots, one per tax.
Anyone on the firm can open a client. Only a manager can record consent for one.
Record consent before anything else
- 1Open the client, then the Consent step.
- 2Choose the purpose. Compliance covers reconciliation and filing preparation.
- 3Name who granted it and add the evidence reference you hold on file.
Without a live consent the rest of the client room stays closed. That is deliberate: uploads, reconciliations and reports all fail closed, and revoking consent closes access immediately.
Ask the owner to approve it themselves
- 1In the Consent step, choose to request approval from the business owner.
- 2Enter the owner's phone number or email.
- 3They receive a link and a one-time code, and approve in their own name.
Use this when the firm should not be granting consent on the client's behalf. The owner's approval is recorded as theirs, not yours.
Running the work
The monthly cycle: records in, reconciliation, a verdict you can put in the file.
Upload records
- 1Open the Upload step and choose what the file is: sales, purchases, payroll or WHT payments.
- 2Drop in the EBM or cash-management export. CSV and XLSX both work.
- 3Read the result: how many rows were ingested, how many were rejected and why.
Rejected rows are listed with a reason each. Fix them in the source system and upload again rather than editing the export by hand, so the records still match what the business actually issued.
Run a reconciliation
- 1Open the Reconcile step and pick the period, as YYYY-MM.
- 2Enter the declared figures from the draft declaration.
- 3Run it. Every difference is itemised in RWF, down to the invoice that explains it.
The verdict is ready, or not ready with the findings to resolve. It is a judgement about the draft in front of you, not a prediction about what the RRA will do.
Read the working paper
- 1Open any completed run and choose the working paper.
- 2It states the period, the figures compared, every finding, and the rule version that judged them.
- 3Print it, or save it as PDF from the browser, for the client file.
The rule version matters. A run from March cites the rules that were in force in March, so a working paper stays readable after the catalog changes.
Export what you need
- 1Records, runs, reports and the consent register all export from the client room.
- 2Choose CSV or XLSX by the link you click.
- 3A bundle gives you everything for one client, or everything for the firm, in one zip.
Running the firm
Access, deadlines and the account itself.
Give colleagues the right access
- 1Open the client, then Team and branches.
- 2Add a colleague by email and choose the role.
- 3Manager records consent and manages the team. Preparer uploads and reconciles. Viewer reads.
Roles are per client, not global. The same colleague can be a manager on one client and a viewer on another.
Watch the filing calendar
- 1Deadlines lists every client and every tax against the monthly due date.
- 2Reminders arrive seven days and three days before the date, for clients that are not ready.
- 3The dashboard shows what needs a person first, ahead of the client count.
Turn on two-factor
- 1Open Settings, then the security panel.
- 2Scan the QR code with an authenticator app, or type the key it shows.
- 3Confirm with a code to switch it on.
Sign-in then asks for the code as its own step. Losing the device means contacting us: your firm's manager cannot reset it for you, because that would make it worth less than the password.
What comes up most
- The upload rejected rows. What now?
- Each rejection names the row and the reason: a missing customer TIN, a date outside the period, an amount that will not parse. Fix them where the records live and upload the file again. Rekoni never edits a client's records for them.
- The reconciliation says not ready and I think the draft is right.
- Open the findings. Each one names the invoices behind it, so either the draft moves or the records do. If the records are wrong, the correction belongs in the billing system before you file, not in the declaration.
- A step is greyed out.
- Something it depends on is missing, and the most common cause is consent that has lapsed or was never recorded. The workspace does not offer an action the API would refuse.
- I was asked to pick a plan.
- The first reconciliation for a client is free. After that a plan covers the clients you manage. Nothing runs up a bill without you choosing it.
- Where did my client's data go after we ended the engagement?
- It is retained while a consent is live. Once every consent for that taxpayer is revoked, a manager can erase it immediately, and it is erased automatically after ninety days. Consent records and the audit trail are always kept.
Still stuck
During the pilot, support is email, answered by the people who built the product. Include the client TIN, the period, and what you expected to see. If it is about a specific run, the working paper tells us more than a description will.
